Conditions of participation

Registration
All participants of the event must register online for a binding participation in the 5th International Congress Hidden Hunger: Improving Food and Nutrition Security through School Feeding. The registration process is possible for one person at a time; each additional person must register via a new registration process. Group registrations are only valid for school or student groups of 10 persons or more up to a maximum of 30 persons. To do so, select the "group ticket" and enter the individual group participants.

After completing the registration, the participating person will receive a confirmation e-mail. The registration for participation is binding. The confirmation e-mail is not a certificate of legitimate participation in the congress. A right to participate exists only after receipt of the full participation fee. The invoice will also be sent to the participant by e-mail. Upon payment of the invoice amount, participation in the event is automatically confirmed. A certificate of participation in the congress will be sent by e-mail after the event.

Deadline for registration is August 25, 2023, 23:59. As of this date, pre-registration is closed. On-site registration is possible at the conference office at box office prices, provided that free places are available. For more information, please see the section Fees, Scope of Services. A maximum of 800 persons can be admitted to the congress.

Each participating person will receive the participation documents at the venue. The name badge gives the participating person access to the congress as well as to the come-together on September 5, 2023, therefore it should always be worn visibly on the body. It is only valid for the registered person, a transfer to another person is not allowed.

Fees, scope of services
The fees for congress participation are charged in the name and on behalf of the University of Hohenheim. The fees are VAT-exempt according to § 4 No. 22a UStG.

The participation fees are listed at hiddenhunger.uni-hohenheim.de/en/congress-fees.

Reduced prices can only be claimed if appropriate proof is provided to CongressCheck GmbH. This can be uploaded in the registration system when booking.

The participation fee includes participation in all event days incl. come-together on September 5, 2023, participation documents, break catering (lunch, coffee breaks) as well as access to the closed user area.

In this area you will find information about the poster presentations as well as participation documents (including abstract volume). The access data will be sent to you by e-mail a few days before the congress.

Payments by bank transfer must be made by September 1, 2023 at the latest. Please make transfers to the following account, quoting the invoice number:

Participation in the evening events
Come-together on September 5, 2023

Participation in the Come-together on September 5, 2023 is included in the participation fees. When registering, please indicate anyway if participation is intended in order to better plan the catering.

Accommodation
The costs for travel, accommodation or other expenses are borne by the participating person. For accommodation, it is recommended to book as early as possible.

Cancellation and changes
Registration for the congress is binding. In case of written cancellation of participation until August 21, 2023, 100% of the ticket costs will be refunded. In case of cancellation after August 21, 2023 or no-show of the participant to the event, the full fee is payable.

Generally, if a participating person cancels, a substitute person can be named.

In any case, CongressCheck GmbH must be informed of a name change in writing to registrierungen@congresscheck.de, contact person: Sandrine Czech, Tel.: 0511-898813-16.

Image recording
Images and video recordings will be made during the event. These will be collected and published for the following public relations purposes of the University of Hohenheim as a legitimate interest within the meaning of Art. 6 (1) lit. f DSGVO. For details, please refer to the privacy policy.

Accessibility
The organizer does not guarantee continuous accessibility of the congress website. Due to technical problems, restrictions of access are possible. The organizer is not responsible for deficient technical services of third parties, unless the organizer is responsible for these deficiencies.

Privacy policy
The organizer handles all personal data in accordance with the requirements of the German Data Protection Regulation (DSGVO). For details, please refer to the data protection declaration on the website.

We would like to point out that it is necessary to process the personal data of the participating person(s) in order to register for the congress. This is done for the purpose of organizing and conducting the event. The data will only be passed on to third parties who are directly involved in the congress process and if the organizational process requires this. This requires the consent of the participant(s) according to Art. 6 para. 1. p. 1 lit. a, b, f DSGVO.

We ask for your understanding that without the consent of the participating person or the consent of the person(s) the participant registers, registration for the congress cannot take place.

Disclaimer, Miscellaneous
With this registration, the participants acknowledge the reservation that no claims for damages can be made against the organizer if the realization of the congress and the evening events is impeded or prevented by unforeseen political, economic or force majeure events, as well as if program changes have to be made due to the cancellation of speakers, etc.
